Ring O’ Fire Race Series – Entry Terms & Conditions (2026 Edition)
- Eligibility
- All entrants must be 18 years or older on race day.
- Entry is conditional on signing the waiver of liability during registration.
- Relay teams must consist of 2 to 4 runners. Solo runners cannot enter the relay category.
- Entry Fees & Categories
- Entry fees vary by event and booking type. See ringofire.co.uk for full details.
- Early Bird pricing ends 31 December 2025.
- Charity entries are available for Ring O’ Fire 130 and Firelighter 50 only. Relay teams are not eligible for charity places.
- Charity entries are subject to fundraising targets and are non-refundable and non-transferable.
- Refunds, Transfers & Deferrals
- Refunds: 50% refund available until 1 July 2026. No refunds after this date.
- Deferrals: Allowed until 1 July 2026. Valid for one year only.
- Transfers: Allowed until 1 August 2026. £25 admin fee applies.
- T-shirt amendments: Not possible after 1 July 2026.
- Relay teams: Must maintain a minimum of 2 runners. If a teammate withdraws and no replacement is found before 1 August 2026, the team must withdraw from the relay category. Solo runners cannot complete the relay alone.
- Transfers between Ring O’ Fire and Firelighter events are permitted until 1 August 2026, subject to admin fee and availability.
- Race Rules
- All runners must follow the official course and check in/out at all checkpoints.
- Honesty books must be collected and handed in at the next checkpoint. Missing pages incur penalties.
- Cut-off times are strictly enforced.
- Pacers are not allowed during daytime. Night pacers may be permitted with prior approval.
- Mandatory kit must be carried at all times. Spot checks may occur.
- Use of vehicles or non-designated indoor spaces for rest is prohibited. See Indoor & Vehicle Use Policy for details.
- Relay-Specific Terms
- GPS tracker acts as the relay baton and must be worn by the active runner.
- Exchanges only allowed at official checkpoints.
- No substitutions once the race begins.
- Teams must self-organize transport and logistics. No bag transport provided by the event.
- All team members are jointly responsible for timely handovers, GPS tracker care, and checkpoint compliance.
- Mixed-gender teams are welcome. All teams compete in a single Open Class.
- Cancellation & Force Majeure
- Organizers reserve the right to modify, postpone, or cancel the event due to extreme weather or other uncontrollable circumstances.
- If postponed, entries will be carried forward. No refunds will be issued in such cases.
- If indefinitely cancelled, organizers may retain entry fees to cover incurred costs.
- Pregnancy Refund Policy
- Full refund available with medical confirmation submitted within 30 days after race start.
- Requests must be emailed to team@ringofire.co.uk before race day.
- Medical & Insurance
- All runners must confirm they are medically fit to participate.
- Personal accident insurance is strongly recommended.
- The event provides checkpoint first aid and emergency response only.
- International Runners
- Participants traveling from abroad are responsible for visas, travel insurance, and customs compliance.
- No refunds will be issued for travel disruptions or denied entry.
- Environmental Responsibility
- Littering on the course will result in immediate disqualification.
- Runners must respect protected areas and follow local conservation guidelines.
- Data Protection & Media
- By entering, runners consent to the use of photos, videos, and race results for promotional purposes.
- Personal data will be stored securely and used only for event-related communications.
- Accessibility & Inclusion
- The event welcomes runners of all backgrounds. If you have specific access needs, please contact the team in advance to discuss support options.
- Mixed-gender and non-binary participants are welcome. Recognition options can be discussed prior to the event.
- Complaints & Feedback
- Constructive feedback is welcomed to improve future events.
- Complaints must be submitted in writing to team@ringofire.co.uk within 14 days of the event.
- All complaints will be acknowledged within 5 working days and responded to within 21 days.
- Abuse or harassment of staff or volunteers will not be tolerated and may result in disqualification or future entry bans.
