Ring O’ Fire Entry Terms & Conditions 2027
Ring O’ Fire 130 | Firelighter 50 | Ring O’ Fire Relay

Status of this document
These Terms & Conditions govern entry into the 2027 Ring O’ Fire Race Series. Race-operation, safety and conduct requirements are set out separately in the Race Rules. By entering, participants agree to these Terms & Conditions and the Race Rules and confirm the Risk Acknowledgement and Participant Declaration as described in the Eligibility and acceptance of entry section.

Event dates: Friday 3 September to Sunday 5 September 2027. Firelighter 50 takes place on Friday 3 September 2027. Entries open Sunday 1 November 2026 at 7:00pm.

Eligibility and acceptance of entry

  1. Entrants must be aged 18 or over on race day.
  2. Entry is conditional on completion of the registration process and acceptance of these Entry Terms & Conditions, the Race Rules and the Risk Acknowledgement and Participant Declaration through the digital confirmation box.
  3. The organiser may refuse or cancel an entry where reasonably necessary for safety, eligibility, administration, fraud prevention or event integrity.
  4. Relay teams must comprise 2 to 4 runners. The lead entrant must be authorised to register the team, share the Race Rules, these Terms & Conditions and the Risk Acknowledgement and Participant Declaration with each teammate, and confirm that each has read and understood them before taking part.

Entry fees, categories and charity places

  1. Entry fees and available categories are shown on ringofire.co.uk and the booking platform. Prices, availability and booking types may change before purchase.
  2. Charity places are available for Ring O’ Fire 130 and Firelighter 50 only. Relay teams are not eligible for charity places.
  3. Charity entries are subject to the relevant charity’s fundraising commitment and conditions. Charity registration fees are non-refundable and charity entries are non-transferable.
  4. Unless specifically stated otherwise, entry is personal to the named participant and may only be transferred in accordance with the Refunds, deferrals and transfers section.

Refunds, deferrals and transfers

  1. A 50% refund is available until 1 August 2027. No refund is available after this date, except as provided by the Pregnancy Refund Policy section or where required by law.
  2. A deferral to the following year’s race is available until 1 August 2027. An entry may be deferred once only, is valid for the following year only, and then expires if not used.
  3. Transfer of an entry to another runner is available until 1 August 2027. A £25 administration fee applies. The entrant is responsible for completing the transfer through their registered account unless the organiser directs otherwise.
  4. Transfers between Ring O’ Fire 130 and Firelighter 50 are available until 1 August 2027, subject to capacity, any difference in entry fee and a £25 administration fee. Please contact team@ringofire.co.uk to arrange an event-distance transfer.
  5. A registered relay runner may request a transfer to Ring O’ Fire 130 or Firelighter 50 by emailing team@ringofire.co.uk by 1 August 2027. The transfer is subject to capacity, any applicable difference in entry fee and a £25 administration fee. The relay team must still have at least two registered runners; if it does not, an eligible replacement must be registered by 1 August 2027 or the team must withdraw from the relay category.
  6. T-shirt choices cannot be amended after 1 July 2027. Where an entry is transferred after this date, the replacement runner will receive the original entrant’s selected size/fit, or the original charitable-donation choice if no T-shirt was selected.
  7. Relay teams must maintain at least two runners. If a relay teammate withdraws and no eligible replacement is registered by 1 August 2027, the team must withdraw from the relay category. A team may not continue as a solo relay entrant.

Event changes, cancellation and force majeure

  1. The organiser may change the route, checkpoints, timetable, rules or event arrangements where reasonably necessary for safety, weather, access, legal requirements or operational reasons.
  2. If the event is postponed because of extreme weather or other circumstances beyond the organiser’s reasonable control, entries may be carried forward to a rearranged date or future event. Refunds will not normally be issued in these circumstances.
  3. If the event is cancelled indefinitely, the organiser may retain entry fees to meet costs already incurred, subject to applicable law.
  4. Participants are responsible for their own travel, accommodation, insurance and associated costs. The organiser is not responsible for travel disruption, visa issues, denied entry to the UK or customs difficulties.

Participant responsibilities

  1. Participants must consider their health and fitness and be reasonably satisfied that they are sufficiently trained and prepared to take part. They should seek appropriate medical advice if they have concerns about participating and must not start, or must stop and seek assistance, if continuing would be unsafe.
  2. Participants are responsible for arranging any personal accident, travel or other insurance they consider appropriate. The event provides checkpoint first aid and emergency response only.
  3. Participants must comply with the Race Rules, mandatory-kit requirements, Event Official instructions and all published safety information.
  4. Participants must provide accurate registration details and keep their contact information up to date.

Pregnancy Refund Policy

  1. A participant who is pregnant and unable to take part may apply for a full refund of their entry fee.
  2. The request must be sent to team@ringofire.co.uk before race day. Written confirmation of pregnancy from a doctor or registered midwife, or a hospital appointment letter addressed to the participant, must be supplied within 30 days after the race start date. Personal details such as an NHS number may be redacted.
  3. Once the request is reviewed and approved, the refund will be made to the card used for payment where possible.

Data protection and media

  1. Photographs, video, audio and race results may be created and used in connection with event administration, safety, reporting and promotion. Information about these uses and participants’ data-protection rights is set out in the organiser’s Privacy Notice.
  2. Personal data will be processed and stored securely for event administration and event-related communications in accordance with the organiser’s privacy arrangements and applicable data-protection law.

Accessibility, inclusion and conduct

  1. The event welcomes participants from all backgrounds. Entrants with access needs should contact the team in advance to discuss whether reasonable support can be provided.
  2. Mixed-gender and non-binary participants are welcome. Recognition options may be discussed with the organiser before the event.
  3. Abuse, harassment or threatening behaviour towards staff, volunteers, participants, local residents or other event stakeholders will not be tolerated and may result in disqualification, removal from the event and/or refusal of future entry.

Complaints and feedback

  1. Constructive feedback is welcomed. Formal complaints should be sent in writing to team@ringofire.co.uk within 14 days of the event.
  2. The organiser will aim to acknowledge complaints within five working days and provide a response within 21 days.
